Event website
Build a public website for your event from ready-made sections, add pictures and text, and publish it at its own address.
Every event can have its own public website. It tells guests what the event is, when and where it is, how to get there and how to register. Planners build it on one screen with a live preview, and the event name, dates, venue, airports and room block hotel come from the event itself.
Open the builder
- 1Open your event.
- 2Choose Event website from the workspace modules.
The screen shows your template choices along the top, a live preview on the left and the settings on the right. The preview is the same page guests will see, with the address shown above it.
- 1The template you are using.
- 2Put the template back to its original design.
- 3Publish the site.
- 4The Content settings for the main words and pictures.
An administrator can limit who may open Event website. See Roles and page access.
Choose a template
- 1Look along the top of the screen. Each template has a card with its name and the kind of event it suits.
- 2Hover over a card to read what the template is like and which events it suits.
- 3Press a card to switch to that template.
There are seven templates.
| Template | Best for |
|---|---|
| Marquee | Launches and keynotes |
| Atrium | Corporate meetings and summits |
| Ledger | Invite-only and boutique events |
| Concourse | Conferences and trade shows |
| Arena | Tournaments and esports |
| Soirée | Celebrations and galas |
| Headline | Music, festivals and public shows |
A template is chosen for you from the type of event, and you can change it at any time. Each template keeps its own content, so trying another one never loses what you wrote, and switching back brings it all with you.
Some templates are designed around a hero image. If you have not added one, a warning says the template falls back to a gradient. Ledger and Concourse look finished without any picture.
Write the main content
Under Content, fill in the words and pictures at the top of the page.
- 1Type an Eyebrow (a short line above the title, such as "Invitation only"), the Title, the Tagline and the About text. Leave a blank line between paragraphs in About.
- 2To style words in the eyebrow, title or tagline, select them and press Bold, Italic, Underline or Text colour. Press Clear formatting to remove the styling.
- 3Choose an Accent colour from the swatches, or pick your own colour.
- 4Choose the Background, Header and Footer colours. Text on each band adjusts itself to stay readable. Press Auto to keep the template's own colour.
- 5Add a Logo and a Hero image. See Add pictures.
- 6Set the Button label and Button links to. The button starts as Register and points to the event's registration form. See Registration form setup.
Choose what to show
Under Show, tick or untick About, Dates, Venue, Airports and Share buttons. The dates, venue and airports come from the event. To change them, edit the event settings.
Arrange the page sections
Under Page sections, the sections become the menu of the site, in the order shown.
- 1Tick Countdown timer to show the time to the event start. It hides itself when the start date has passed.
- 2Tick or untick a section to show or hide it.
- 3Type in the box beside a section to rename its menu label.
- 4Drag the handle at the left of a section up or down to reorder it. The site follows this order.
The sections you can switch on are listed here.
| Section | What it holds |
|---|---|
| Details | Small info cards, such as dress code, Wi-Fi or a contact |
| Venue | A photo, a getting-around note and a map link. The venue name, address and dates come from the event |
| Travel | A travel note. The arrival modes, gateway airports and room block hotel fill in from the event |
| Schedule | Rows grouped by day, each with a time, title, note and location |
| Speakers | People with a role and a photo |
| Gallery | A carousel of photos with optional captions |
| QR code | A scannable code for any link you enter |
Each section you switch on gets its own panel lower down the settings. To add an item, press Add card, Add row, Add slide or Add speaker. Press Remove on an item to delete it.
Repeat the day on each Schedule row to keep rows together under that day.
Add the sections that belong to a template
Some blocks appear only for the templates that use them. Their panels show in the settings when you pick one of these templates.
| Template | Extra panels |
|---|---|
| Concourse | Tracks and Agenda (a track name, and sessions with time, title, speaker, room and track) |
| Arena | Fixtures (time, stage, home team and away team, each with a colour) |
| Soirée | RSVP (Respond by date and a Note) |
| Headline | Lineup (acts with a set time, note, photo and a tier from 1 to 3), Passes and Sponsors |
- In Lineup, the tier sets the size on the bill. 1 is the headliner, 2 is support and 3 is small print. Press Add act to add one.
- In Tracks, press Add track. In Agenda, press Add session and choose the track, or No track.
- In Fixtures, press Add fixture.
- In Passes, press Add pass, give it a name and a short note, and put the address of a registration form in the link box. Tick Feature to highlight one. Passes only link to a registration form. The website does not take payments.
- In Sponsors, type one sponsor name per line.
If you switch to another template, the content you entered here is kept but is not shown on a template that has no place for it.
Add a QR code
- 1Switch on QR code under Page sections.
- 2In the QR code panel, enter the Link and, if you like, a Caption.
Any link becomes a scannable code. The code is made on HAPR's own servers, so the link is not sent to anyone else. Until you enter a link the panel says Add a link above to generate the code.
Add pictures
Every picture field has an Upload button (it reads Replace once a picture is there) and a Remove button. You can also paste the address of an image.
- Use JPG, PNG, WEBP, GIF or SVG, each under 8 MB. PDFs and documents are refused.
- Use a logo with a transparent background where the template places it over a picture.
- Check the preview at phone width, because a wide logo shrinks a lot.
- Only upload images you have the right to publish. The event website is public.
Set the footer and sharing
Under Footer & sharing, set the following.
- 1Footer note. It starts as "Hosted on HAPR".
- 2Contact email. It shows in the footer as a link.
- 3Social preview text and a social preview image. These appear when someone shares the address in a message or on social media. The text falls back to the tagline, and the image falls back to the hero image.
When Share buttons is ticked under Show, the footer has buttons to share on LinkedIn, X, Facebook and WhatsApp, and a button to copy the link. A small "Powered by HAPR" line always shows at the very foot.
Save your work
The builder saves a draft by itself a moment after you stop typing, and a note beside the buttons says Draft saved. The draft is never public. The live site changes only when you publish.
Press Reset to put the template you are working on back to its original design. Your changes to that template are cleared. A question asks you to confirm first. Other templates are not touched.
If your organisation has a default website, a new event starts from it. A line at the top says you are showing the organisation's default site, which updates until you make your first change here.
Publish the site
- 1Press Publish at the top right. If the site is already live, the button reads Republish.
- 2Check the Web address. This is the address people will share, in the form app.thehapr.com/events/ followed by your words.
- 3Wait for the note under the address. Available means you can use it. If it says the address is taken, press Use with the suggestion beside it, or type a different one.
- 4Press Publish (or Republish) to confirm.
A message says Site published. A link with a green dot appears at the top of the screen. Press it to open the live site in a new tab.
The address is made from lower case letters, numbers and hyphens. It can be up to 60 characters. You can change it later, but old links stop working.
Take the site offline
- 1Press Take offline at the top of the screen.
The live site is hidden at once and its address shows "not found". Your draft is kept, so you can publish again later.
Share the address
- 1Press the live address at the top of the screen to open the site.
- 2Copy the address from the browser, or use the Copy link and share buttons in the site's footer.
Guests do not need to sign in to see the site.
Good to know
- An address that has not been published shows "not found", on purpose, so a half-finished page can never be reached.
- Addresses are unique across all published sites. Two people can draft the same address, and the clash shows when the second one publishes.
- On plans that do not include the website builder, publishing uses credits for that event. The price is shown in the publish box before you confirm. The site then stays live until 30 days after the event ends. See Quotas and credits.
- Publishing a site for the first time can also count the event against your plan's allowance of released events. The publish box shows this before you confirm.
- If the event is read-only on your plan, you cannot publish. Use Keep this event live on the event overview to reopen it. See Event overview.
- The registration button and any pass links lead to your registration forms, not to payment. See Registration form setup.
- To style the attendee app instead, see Designing the attendee app.
If something looks wrong
- Give the site a web address. The address box is empty. Type an address.
- That web address is already taken. Another event published at that address while you were editing. Use the suggestion shown or type another.
- Could not publish. The site was not published. Try again.
- The website could not be switched on. Please try again. The site was not published and no credits were taken. Try again.
- Could not take the site offline. Try again.
- Could not save. The draft did not save. Check your connection and keep editing, which tries again.
- Upload failed. Please try again. The picture did not upload. Try again.
- If an upload says the image is larger than 8 MB, shrink the picture and upload it again.
- If an upload says to use a JPG, PNG, WEBP, GIF or SVG, the file is another type. Choose a picture in one of those formats.
- If the live address says This event site is not published (or the address has changed)., the site is offline or the address was changed. Publish again, or share the new address.
- If the live address says This event site is no longer available., the website's paid period has ended or the event is read-only. Open the builder to see the cost message.
Quotas
These actions count against your plan's quota. Your Billing page shows how much is left.
A Planning plan becomes an event
A saved Planning plan becomes an event the first time its registration form is published or attendees are added. That counts one unit.
- One unit
- One plan promoted
- Counted when
- A Planning plan is published or gets its first attendees.
- Free when
- A workspace that is already an event. If the action then fails, the unit is handed back.
Screen reference
